Job Description: We are searching for a sharp, outgoing and polished professional to become an integral part of our team as our Client Services Director. This is a full-time job, and we are seeking a highly motivated and experienced professional that will strive for growth (of which there is room for at this firm)! This job is intellectually stimulating and involves a high degree of problem solving, leadership and client-focused work, supporting the attorney in a busy estate planning and small business practice.
Our office is located in in the heart of Chatham Village, Columbia County New York. We are open typical business hours Monday-Friday. The office closes on weekends and holidays. We also recognize the need for flexibility in the workplace and while some work may be able to be done remotely, the majority of work is based in our office, as it involves working with hard copy files, secure cloud-based files, and meeting with clients. Flex time is available.
Responsibilities:
● It will be necessary to generate complete estate and business planning intakes and client profiles, ensuring appropriate procedures and policies are followed, while meeting client service goals and objectives and providing a seamless client experience.
● You will oversee and manage the entire client experience from beginning to end of their engagement with the firm. It is necessary to show the utmost care in all client-facing work and you will be leading clients throughout the entire estate planning process. This involves meeting and communicating with clients regarding their business and estate plans.
● You will maintain our filing system and organize hard copy and electronic records, such as letters, legal documents, case files, correspondence, invoices and memoranda according to the processes in place. The goal is to preserve, organize, and make accessible to our clients and attorneys the firm’s records and manage paperwork effectively and confidentially.
● You must be able to answer phones and respond to emails in a timely manner, and communicate with clients in a professional, welcoming and friendly manner 100% of the time.
● You will also perform business development tasks, including managing the pipeline by generating leads and referral business, assisting with presentations, newsletters, and social media, and maintaining relationships with existing and past clients.
● You must be able to timely adhere to multiple deadlines, managing the flow of all necessary information and documentation between other team members and clients.
Qualifications/Experience:
● 3-4 years experience in a client-centered and deadline-driven office preferred;
● 2-3 years mid-level project management experience;
● Experience in customer service and serving clients;
● Comfortable talking on the phone and speaking with clients face-to-face;
● Strong understanding of confidentiality and/or experience working with confidential information;
● Independent worker who likes to solve problems and is able to balance a variety of responsibilities; and
● Some bookkeeping experience preferred.
Skills Needed:
● Strong ability to communicate clearly and effectively, both verbally and in writing, across a variety of audiences.
● Advanced computer skills and experience utilizing laptop technology, including MS Word, MS Excel, MS Powerpoint, MS Outlook, Google Calendar, Zoom, video platforms, social media, SharePoint, and Adobe Acrobat.
● Strong ability to prioritize workload based on internal and external client needs and deadlines.
● Strong ability to work with internal and external constituents in a professional manner.
● Excellent critical thinking skills.
● Knowledge of and experience with marketing CRM platforms, ideally Lawmatics.
Salary: $40,000-$85,000+ (including benefits and bonuses and dependent on experience and skills) with a transparent bonus structure and opportunities for bonuses throughout the year. After a 3-month training period benefits include PTO, matching Simple IRA, paid holidays, and health benefits are negotiable.
